Our verification services are used for two primary purposes: qualifying new suppliers before placing an initial order, and conducting ongoing monitoring of existing suppliers to ensure that standards are maintained over time. Both scenarios require a systematic approach to evaluating a supplier's legitimacy, operational capacity, financial health, and commitment to quality, and that is exactly what Helmsman delivers.

What We Verify

Our supplier verification covers a comprehensive set of evaluation criteria designed to give you a complete picture of your supplier's reliability and capability:

  • Business License and Legal Status: We verify the supplier's business registration, operating licenses, export licenses, and legal standing with local authorities. This confirms the company is a legitimate, legally registered entity authorized to conduct the business it claims.
  • Financial Stability: We assess the supplier's financial health through available records, including registered capital, annual revenue indicators, credit history, and any outstanding legal disputes. Financial instability is a leading indicator of supply chain disruption risk.
  • Production Capacity: We evaluate the supplier's actual manufacturing capabilities, including facility size, equipment inventory, workforce size and skill level, production line configuration, and current utilization rates. This ensures the supplier can realistically fulfill your order volumes and timelines.
  • Export Experience: We review the supplier's export history, including destination markets, key clients (with permission), export volume trends, and familiarity with international shipping documentation and customs requirements.
  • Quality Management Systems: We assess whether the supplier operates under formal quality management frameworks such as ISO 9001, and evaluate the effectiveness of their quality control procedures, incoming material inspection, in-process controls, and final product testing.
  • Certifications and Compliance: We verify all claimed certifications (ISO, CE, UL, etc.) directly with the issuing bodies, check expiration dates, and confirm that the scope of certification matches the products being supplied.
  • References and Track Record: Where available, we collect and verify client references, review order fulfillment history, and assess the supplier's reputation within their industry and region.

Desktop vs. On-Site Verification

Helmsman offers two levels of supplier verification, each designed for different situations and risk profiles:

Desktop Verification is a remote assessment conducted through document review, database searches, government registry checks, and phone/video interviews with supplier management. This is an efficient and cost-effective option for initial screening of potential suppliers, verifying basic company information, and checking claimed certifications. Desktop verification typically takes 3 to 5 business days to complete.

On-Site Verification involves a physical visit to the supplier's facilities by one of our qualified assessors. The assessor inspects the production floor, interviews management and workers, reviews documentation in person, photographs the facility and equipment, and verifies that the actual operation matches the information provided during desktop screening. On-site verification provides the highest level of assurance and is recommended for high-value orders, critical components, and new supplier relationships. Reports are typically delivered within 3 business days of the site visit.

We recommend combining both desktop and on-site verification for comprehensive due diligence, especially when entering new markets or onboarding suppliers in unfamiliar regions.

Risk Assessment Methodology

Every supplier verification concludes with a structured risk assessment that categorizes the supplier across key risk dimensions. We use a proprietary scoring framework that evaluates risk in five areas: legal and regulatory compliance, financial stability, operational capability, quality management maturity, and communication responsiveness. Each dimension receives a score, and the aggregate result produces an overall risk rating of Low, Medium, or High.

This risk rating is accompanied by detailed justification for each score, specific findings that influenced the assessment, and actionable recommendations for risk mitigation. If significant risks are identified, we provide clear guidance on the steps needed to address them before proceeding with the supplier relationship.

Report Deliverables

Upon completion of the verification, you receive a comprehensive supplier assessment report that includes:

  • Company Profile Summary: Verified company name, registration number, address, ownership structure, key management personnel, and years in operation.
  • Verification Findings: Detailed results for each verification criterion, including supporting evidence and documentation.
  • Photographic Evidence: For on-site verifications, extensive photographs of the facility, production lines, equipment, storage areas, and quality control stations.
  • Risk Assessment Matrix: Visual risk scoring across all evaluation dimensions with overall supplier risk rating.
  • Recommendations: Clear, actionable recommendations on whether to approve, conditionally approve, or reject the supplier, along with suggested follow-up actions.
  • Certification Verification: Copies of verified certificates with confirmation of authenticity, scope, and validity period.

Ongoing Supplier Monitoring

Supplier performance can change over time due to management changes, financial pressures, capacity constraints, or shifts in quality focus. Helmsman offers ongoing supplier monitoring programs that provide periodic reassessments at intervals you define, whether quarterly, semi-annually, or annually. These follow-up assessments track changes in the supplier's status, flag any emerging risks, and ensure your supply chain remains reliable and compliant over the long term.
